BCHS BAND BOOSTER CLUB MEETING MINUTES

 

Date:  Monday, Oct. 10, 2011 7:00 p.m.

 

Location: BCHS Band Room

1. Subject: MONIES

Discussion:

  • Postcards
    • Cory Cronbaugh reported that the cost of the postcards and postage was donated by Vivian and DeWayne Cronbaugh
    • What to do with the remaining postcards
  • Report from the Treasurer
    • Cory Cronbaugh reported that we received a check from Atkins Watermelon Days in the amount of $522.30

 

Decision(s)

Ø  It was decided to split up the remaining postcards and have them put up on bulletin boards at convenience stores, etc.

 

2. Subject: SUMMARY OF LAST MEETING

Discussion:

  • The Board is in the process of creating By-Laws and a Mission Statement.
    • Kendra Blomberg put together a preliminary Mission Statement for review, which states:

“To promote and provide a foundation of pride and excellence through music while emphasizing leadership, discipline, and responsibility – thus helping our band members achieve success at all facets of their life.  In return, build a strong band tradition that will inspire respect, motivation, commitment, integrity, compassion, and excellence in all future band members to come.”

  • Corporate registration is required to become a non-profit organization and to begin fundraising.
    • Cory Cronbaugh reported that Vicky Jensen’s law office has volunteered to donate their services toward setting up our non-profit status.  However, there will be an $850.00 filing fee paid to the Federal Government for our tax free status.
    • Our first step will be to obtain an EIN number, which can be done as soon as we have elected officers.

 

Decision(s):

Ø  Several suggestions were made for improving the Mission Statement.  Kendra will revise the mission statement and we will review it again at the next meeting.

Ø  A motion was made by Nancy Bode for the nomination of officers. It was seconded by Cindy Beatty.  The following officers of the Benton Booster board will be:

                  President -                    Bryan Blomberg

                  Vice President -             Kendra Blomberg

                  Treasurer -                     Cory Cronbaugh

                  Secretary -                    Cyndi Houser

 

4. Subject: COMMUNICATION

Discussion:

  • Several suggestions were made on how to communicate booster meeting times.
    • Put in school announcements
    • Put on school calendar online
    • Booster Website
      • Amy Schadle suggested a website on School World (My Teacher’s Pages) for the Band Booster.  The PTO has one and it requires a small fee for the year

 

Decision(s):

Ø  Cyndi Houser will look into having the booster meeting times put in the school announcements and the school calendar.  She will also find out the cost of having our own website.

 

5. Subject:  FUNDRAISING

Discussion:

  • Several fundraising ideas were presented.
    • Advertising in the Star Press and in the Programs at band and athletic events.
    • Bake Sale
    • Supper before the Festival of Bands for a free will donation.
    • Million Penny drive
    • Create a Sponsor Board with different levels (“The Golden Notes Program”)
      • Set levels of donations
      • Send concert tickets to businesses that contribute
      • Hand deliver flyers to businesses
      • Put article in Star Press – get journalism students involved
      • Need volunteers for each town to pass out flyers

 

Decision(s):

Ø  Bryan Blomberg will put together a flyer to hand out to businesses outlining our sponsorship program.

o    We would like to be able to obtain sponsors before the Holiday Concert in December.

Ø  Several parents volunteered to help coordinate the distribution of flyers:

o    Cindy Beatty, Nancy Bode, and Kathy Koehn – Atkins

o    Diane Pailthorpe – Elberon

Ø  Still need volunteers for the remaining towns.

 

6. Subject: UPCOMING EVENTS AND NEEDS

Discussion Points:

  • Flowers for Senior night.
    • Kendra Blomberg and her mother would like to arrange and donate the followers for Senior Night.

 

Decision(s):

  • Cory Cronbaugh spoke with Blairstown Flower Shop and found a good deal for Carnations w/blue and yellow ribbons.  Kendra and her mother will pick them up before the game.

 

 

Next meeting Mon. Nov. 14, 2011 @ 7:00 p.m. in the BCHS Band Room.
