Mainstage Entry Procedures

 

PLEASE NOTE:  Please read all the materials carefully!!  We will have two mainstage performances  in the grand ballroom.  The Friday production will be performed twice  -  at 1:30 PM, and at 7 PM.  The Saturday production will be performed once  -  at 2:45 PM.  Please consider the size of the stage and ballroom before submitting a show for adjudication – 60 ft. wide proscenium, for an audience of at least 800 on Fri., and 1600 on Sat. 

 

If you’d like to have your show screened for a possible mainstage slot at the conference, the state Thespian board will send two adjudicators to your school to view a performance.  We will need at least two weeks notice in order to have time to schedule adjudicators.  This means that you can and should submit your Mainstage Entry form before your other registration materials.  Send the mainstage entry form directly to:

DEADLINES:  Although we would like for you to submit this form as soon as you decide to have your show screened, the final deadline is OCT. 9th – along with all your other registration materials.  NO LATE ENTRIES WILL BE ACCEPTED!  Sun., Nov. 1st is the last day that adjudicators can screen your show.  No performance/rehearsal can be screened before 5:00 PM.  If your opening date is after Nov. 1st you may elect to have adjudicators attend a dress/tech rehearsal.  However, the adjudicators will expect to see fairly well completed costumes and set, and it must be performed in the theatre/auditorium where the regular audience will see it.    Please note:  that none of the schools that have been adjudicated will be notified of acceptance or rejection until the state Thespian board meeting on Nov. 7th – no matter when it was adjudicated.  We must wait until all productions have been screened to come to a decision.

 

FEE:  There will be a $150 screening fee for having your show adjudicated.  This fee is used to pay a stipend/travel allowance for the two adjudicators.  The adjudication fee must be submitted with the mainstage entry form.  You may send a check made out to the Arizona Thespians, or a copy of your P.O. for Festival registration.  If payment or P.O. has not been received by the time your show is scheduled to be adjudicated, the screening will be cancelled. 

 

TECHNICAL:  Remember that when you bring a mainstage to the Festival you will have to adapt your lighting to fit the grand ballroom lighting plot, and you may have to adjust your set and other technical elements to meet the specifications of the facility.   Please don’t plan to bring a show with a small set. Remember you’re dealing with a 60’ proscenium.  Please send any set designs, lighting plots, and any other technical materials you may have along with your mainstage entry form.  Or you may give them to the adjudicators at your performance/dress-tech rehearsal.

 

ADJUDICATION:  Upon receipt of your mainstage entry form you will be notified when adjudicators have been scheduled.  There will be two adults and possibly student representatives (S.S.O.’s) from the state board, not necessarily at the same performance or tech-dress rehearsal.  You are only expected to provide complimentary tickets for the two adult adjudicators.  The student board members (S.S.O’s) are invited to give their feedback to the adjudicators, but the adults will make the official recommendation to the board as to accept or reject the production for a mainstage slot.  You will receive a copy of the adjudicators’ completed screening forms after the two mainstage shows have been selected.  BE SURE and read the “Performance Standards Policy,” found elsewhere on the Arizona Thespians website.  Since you’re being screened by 2 adjudicators you will not need to fill out the “Instructor’s Approval” part of this policy.  They will make sure your show conforms to the “contemporary community standards” and “unprotected speech” concepts of the policy.  Please keep in mind too that the adjudicators are looking for productions that are high in quality both in acting and tech (i.e. the best in the state), but also that will appeal, keep the attention of, and be of interest to a large and diverse high school audience.
